How to Follow Up Leads So You Actually Win the Job

    By Published 7 min read

The fastest way to get more jobs is almost never more leads. It is winning a larger share of the enquiries already coming in. We regularly review Melbourne trade businesses converting well under a third of their enquiries, not because the leads were poor, but because the first call went out two days late and there was no second attempt.

    Speed-to-lead is the whole game

When someone submits an enquiry form, they are usually contacting three or four businesses in the same sitting. Whoever answers first frames the entire comparison, and often gets the job before the others have opened the email.

    • Under 5 minutes: you are usually the only one who has called. Conversion is dramatically higher.
    • Under 1 hour: still strong, and ahead of most competitors.
    • Same day: acceptable, but you are now one of several.
    • Next day or later: you are chasing a decision that has largely been made.

You cannot answer the phone on a roof, and nobody expects you to. What you can do is remove the delay between the enquiry arriving and someone knowing about it: enquiries pushed to SMS as well as email, an automatic reply that sets a response time, and a fifteen-minute window at smoko and again at the end of the day dedicated to returning calls.

A follow-up sequence that fits a working week

Follow-up fails when it depends on memory. Turn it into five steps you run the same way every time.

    Day 0 — acknowledge immediately

Even if you cannot talk, send a text within minutes: who you are, that you have got their enquiry, and exactly when you will call. This single message stops most people ringing the next business on their list.

    Day 0 or 1 — the call

Phone first, always. Ask what the job involves, when they want it done, whether they have had other quotes, and what matters most to them. Book the site visit on that call rather than promising to arrange one later.

    Day 1 to 2 — the quote

Get the quote out within 48 hours of the site visit while you are still the business they remember. Include a photo of a comparable job, what is and is not included, your licence and insurance details, and a clear next step.

    Day 4 to 5 — first follow-up

A short, low-pressure message: “Hi Sarah, just checking you received the quote for the Coburg bathroom — happy to walk through anything in it.” Offering help converts better than asking for a decision.

Day 10 to 14 — second follow-up, then park it

Add something useful: current lead times, a similar job you have just finished, or a note that you have a slot opening. Then stop the active chase and move them to a longer list.

Handling no-responses without being a pest

Silence usually means life got busy, a partner has not agreed yet, or the timing has moved. It rarely means no. Two or three well-spaced, genuinely helpful contacts are welcome; six in a week are not.

    • Vary the channel: call, then text, then email. People respond on different ones.
    • Never send a message that only says “just following up” — add information each time.
    • Ask one honest question: “Is this still something you’re planning, or has the timing changed?”
    • Keep a quarterly list of old quotes and revisit it — dormant quotes close surprisingly often.
    • Take a clear no gracefully; it protects the referral.

Make your website do some of the work

Good follow-up starts before the call. A clear enquiry form that captures the suburb and job type lets you arrive at the call already informed, and an immediate confirmation message that states your response time buys you time you would otherwise lose. That is a build decision, our Meta ads package includes a GoHighLevel conversion landing page with a qualifying quote form, separate thank-you pages for qualified and unqualified leads, and lead notifications. A full Lead Management System with CRM and automations is an optional add-on.

The mechanics of forms, notifications and tracking are covered in more depth in our guide to websites that convert.

Track it or it will not improve

You need four numbers, and a spreadsheet is fine to start: enquiries received, average time to first contact, quotes sent, and jobs won. Review them monthly. Almost every trade business that starts measuring time-to-first-contact improves it within a month, and win rates move with it.

Once volume justifies it, a simple CRM removes the admin and the forgotten quotes. Until then, discipline beats software.

If enquiries are arriving but not converting, the fix is usually process rather than spend. Request a free strategy session and we will look at your enquiry path end to end.
